  -  MINUTES OF GENERAL MEETING FOR THE MUSIC FESTIVAL  -

            WEDNESDAY, JANUARY 04, 2012, 10:00 AM, AT SIESTA VILLAGE,

  MULTI-PURPOSE ROOM, WESLACO,  TEXAS.

 

-George Rogers, President, called the meeting to order.  He welcomed the attendees, and thanked all for coming for the meeting.

 

-Edy McKenzie, Secretary, read the minutes from the 12-07-11, General Meeting.

 

A Motion was made by Kathy Rogers to accept the minutes as read; a 2nd was made by Lucinda Monger.  The Motion was carried.

 

-Ed Jones, Treasurer, advised that the balance of the checking account is $29,453.50, as of 01-04-12.

 

A Motion was made by Fred Rasmussen to accept the Treasurer’s Report as read; a 2nd was made by Gene McKenzie.  The Motion was carried. 

 

Ed Jones advised that there are still outstanding bills to be paid:  balance of amount to rent tents, I.R.S. taxes, “Event” insurance coverage.

 

Gene McKenzie, Fund Raiser, reported on the following items:

 

  1. WalMart.  We have received an additional $700.00 from the WalMart Store in Edinburg.

 

  1. Ranch House Burgers.  RGVMF commenced Wednesday evening venues on 12-14-11, 6:00 to 8:00 PM, with payment of $125.00, plus tip jar, for each venue.  They would like for these venues to continue each Wednesday, thru March 28, 2012.  The tip jar is averaging $50.00 per night.  If we follow-thru with this schedule, we will have received approximately $2,800.00.  Louie Jett has put together a band for these performances.

 

  1. Weslaco Chamber of Commerce.  There are three venues scheduled for the Chamber.  a. 02-01-12, I.W.Henson, 5:00 to 7:00 PM.  b. 02-09-12, Country Shades, 2:00 to 4:00 PM.  c. 02-10-12, I.W.Henson, 2:00 to 4:00 PM.

 

  1. Premium Outlets.  There are five venues scheduled for Premium Outlets.  a. Tuesday, 01-24-12, 2:00 to 4:00 PM, I.W.Henson.  b. Saturday, 01-28-12, 2:00 to 4:00 PM, Country Shades.  c. Tuesday, 01-31-12, 2:00 to 4:00 PM, Country Shades.  d. Saturday, 02-04-12, 2:00 to 4:00 PM, Country Connections.  e.  Tuesday, 02-07-12, 2:00 to 4:00 PM, Country Connections.

 

  1. Palm Harbor.  Palm Harbor wants to display a mobile home at the Festival.  They will place it in the area across the drive from the entrances to Stage 1.

 

  1. Texas State Bank.  We have received a check from Texas State Bank in the amount of $150.00.

  1. RGVMF Soup ‘n Sandwich Fund Raiser.  The Fund Raiser is scheduled for Thursday, 01-05-12.  Dinner commences at 4:00 to 6:00 PM; Auction of deserts and items donated by businesses and supporters of the Festival will be from 6:00 to 7:00 PM; 50/25/25 drawing will be held following the Auction just before the jam commences at 7:00 to 9:00 PM.  Ed Jones stated that he has 28 helpers, and he has scheduled a meeting with them for Thursday, 2:30 PM.   Additional volunteers to donate sandwiches are  needed.  The sandwiches should be cut in half diagonally, individually wrapped, or put in sandwich bags, and labeled showing what kind of sandwich is in the wrap/bag.  If sandwiches are left-over, they will be donated to an organization for the needy.  Karin Jones advised that items brought for the Auction, should be labeled showing what is the item and who donated it, and placed on a table provided so they can be numbered.

 

  1. Retail Sales.  Judy Davis is the Product Coordinator.  She submitted to George Rogers a map showing potential re-location of the Product Booth.  Kathy Rogers is Judy’s assistant.  We have printed and embroidered products.  Joe Hinnenkamp, from Weslaco Trailer Park, is purchasing shirts and caps to be given as part of the 50/50 drawings at their Saturday Jams.

 

  1. Ranchero Village.  Bob and Jean Cain will be hosting a Fund Raiser on 01-19-12.  Dinner from11:00 AM to 12:00 PM; Auction 12:00 Noon to 1:00 PM; Jam from 1:00 to 3:00 PM.

 

  1. Melhart Music Center.  We have been told by Jim that they are on board; he just hasn’t yet decided the amount he will be giving.  Melhart’s will be providing both inside stages this year.  Magic Valley Electric Co-op has advised I.W.Henson that they are on board.  We are still trying to contact Virginia Perez regarding H. E. B. Stores’ status.  We have been told she is on medical leave, and are trying to contact the person responsible for donations in her absence.

 

-Karin Jones, Webmaster, reports on the following items:

 

1. Accessing www.rgvmf.com  Karin advises that one should check www “home page”, and not separate areas.

 

2. Pictures.  Pictures of the members of the Board of Trustees have been put on the website, except I.W.Henson.  He will be added at a later date.

 

3. Profiles of Performers.  Updates are in process.  If one has material regarding this category, please send/give information to Karin.

 

4. School Grants.  The up-dates are in place.

 

I.W.Henson, Vice President, reports that the “the world fell on me”; he has been working 6 days a week to meet requirements on a contract.  He is hoping the requested release from the contract will be coming within the next few weeks.

 

  1. Magic Valley Electric Co-op.  Edy McKenzie prepared a packet which was delivered to Donnella Hughes in March, 2011; follow-up calls were made commencing in November, 2011, with no response.  This morning, at 8:00 AM, I.W. went to Donnella’s office; met and talked with her.  The are committed to the $1,500.00, with an ad in their magazine.

2.  Bandaras Dude Ranch.  While working at the Ranch, I. W. met a man from Houston, who stated he is on a Board with an organization interested in organizations such as ours.  He requested additional information, and Edy McKenzie prepared a letter and a packet which has been sent to him.  We may receive some additional funds from this group.

 

-George Rogers, President, reported regarding the following items.

 

  1. Stage Managers.  We have filled the two needed Stage Managers slots,  Ken Hill, and Larry and Vi Ketterling will be managing two of the stages.

 

  1. Flyers.  Ed Robinson is Coordinator for Flyers and Rack Card distribution.  Ed reports that parks he contacted, starting in November, did not seem interested and indicated he should come back in January.   He states he soon will commence contact with the RV parks.  If anyone wants flyers for jams, etc., contact Ed Robinson.  We have three different items:  Rack Cards are for display in parks, hotels/motels, Chambers of Commerce, etc., which have rack card holders; ½ sheet flyers are for distribution at jams and venues; full page flyers are for displaying at RV Parks and businesses.

 

  1. Channel 5 TV.  Dick Wynne reported that the TV interview for Channel 5 TV, with him and Ruthie, would be taped on 01-26-12, and aired on 01-29-12 at ________

 

  1. Printer.  A printer in Rockport, Texas, is doing the printing for us this year.  The end product is of better quality, and it costs less.

 

  1. Stage Managers Meeting.  The meeting was held at Molly’s yesterday.  The tentative schedule has been set up for the stages.  Any contact for changes and/or questions should be made with Janet Dyer.  The  schedule will be on the website in a few days; Janet Dyer and Karin Jones will be working on that project.

 

  1. Program.  The Program will be going to print early this month.  I.W.Henson advised because of the number of performers wanting time slots, the performers have been restricted to no more than 6 time slots.  There are 2 hours open mic time-slots each day at each stage.  Open mic time-slots are for 10 minutes.

 

  1. Grant.  A $1,000.00 Grant will be presented to the Edcouch-Elsa School Music Department.  They have qualified for a contest in San Antonio; the band is very excited about it.

 

  1. Volunteer Coordinator.  Lois Wright is unable to continue as Volunteer Coordinator, and has resigned that position.  Beth Staton and Jan Steele volunteered to be coordinators of the volunteers.  A packet of sign-up sheets were given to them, and Lois will get with them to discuss the matter.

 

  1. Golf Carts.  Tony Brezinski advised that a group from Trails End has volunteered to shuttle attendees, using golf carts furnished by the Festival.  Gene McKenzie advised that the Mercedes Chamber of Commerce will be paying the rental fees for golf carts again this year; he will confirm with Albert Gonzalas the number they are willing to rent and will get back with Tony Brezinski.

 

The next scheduled General Meeting will be held on Wednesday, 02-01-12, at 10:00 AM, at Siesta Village, in the Multi-purpose Room.
